- All passengers aged 18 and older are required to present valid government-issued photo identification (federal, state or local). Example: driver’s license or passport. Please note, all travelers will need a passport to travel to Costa Rica.
- All passenger names (first, middle and last names) on airline tickets/e-tickets must match identification exactly, or the airlines will deny boarding.
- Any changes after ticketing may result in additional fees and penalties.
- Travel with photocopies of your travel documents and identification in case the originals are lost or stolen.
- Important note for married people or anyone who’s changed their name: If your maiden/former name is on your current passport or government-issued identification, you must make sure your airline ticket has the same name. (The name on your ticket must match the name on your identification.)
- Airport check-in and boarding
- To avoid being denied check-in or boarding:
- You and your luggage must be checked in with the airline at least 60 minutes prior to flight departure. You may be able to check-in online and prepay baggage fees; visit your airline’s website for information.
- You must be at the gate at least 30 minutes prior to departure.
- We recommend arriving at the airport at least three hours prior to flight departure to allow for long lines and delays.
- If you have an early morning departure, contact your airport to determine when the ticket counter will be staffed.
- Airline websites and travel apps are useful for checking flight status and receiving notifications.
- The mobile web app will include your flight information and confirmation number to use as a reference at check-in.
- Visit the TSA website at tsa.gov for more information.

- Checked luggage fees
Baggage fees vary by airline and frequent flyer status. Contact your scheduled airline for up-to-date information. All luggage fees incurred will be at your own expense at airport check-in. - Flight delays
Once you check in, the reservation is in the hands of the airline. If your travel is interrupted or canceled while you are at the airport, please get in line at a ticket counter or service desk. Once your new flights are booked, please inform Fellowes Travel Headquarters of the new flight information. While in line, if you’d like assistance with flight options, call Fellowes Travel Headquarters at 866-323-3773 (press 2 for air). If you call outside of business hours, you will have the option to be forwarded to one of the travel air specialists for assistance. - Luggage identification
Securely attach luggage tags to each piece of luggage. We also recommend enclosing within your luggage a business card, as this may help the airline identify your bag if the outer tag is detached in transit. Lost or damaged luggage is the sole responsibility of the airline. - Packing tips
- One carry-on bag is permitted per person, plus a personal item (laptop, purse, camera bag). The bag may not exceed 9” x 14” x 22” and must fit in the overhead compartment or under the seat in front of you.
- Carry some toiletries, a change of clothes and a swimsuit (if applicable) in case your luggage is delayed.
- Prescription drugs, in their original containers, should also be in your carry-on luggage.
- Be sure to carry your valuables on you or in your carry-on bag.
- Liquids, aerosols, gels, creams, and pastes are limited to travel size (3.4 ounces or less, each) and must fit comfortably in ONE quart-size clear plastic zip-top bag. More details on what you can bring.
- TSA is allowing one liquid hand sanitizer container up to 12 ounces per passenger in carry-on bags.
- TSA requires that your luggage be unlocked, or you may use TSA-approved locks, which are available where travel-oriented goods are sold.

- Attire guidelines
- Comfortable traveling clothes: Casual, loose-fitting clothing and comfortable walking shoes. You may want to bring an additional layer, such as a sweatshirt, with you on the plane.
- Casual attire: Shorts, jeans, nice t-shirts, comfortable tops, sandals, or tennis shoes. No ripped clothing, cutoff shorts, or tank tops.
- Beach / pool attire: Swimsuits with cover-ups, and sandals or flip-flops. Cover-ups and shoes are required in resort lobby and restaurants.
- Resort casual attire: Casual slacks, jeans, or dress shorts with a button-down or polo-type shirt for men; dress, skirt, dress shorts or jeans/pants with a coordinating top for women. A lightweight sweater or jacket is suggested for the cooler outdoor evening temperatures.
- Smart casual attire: Dress shorts or slacks with polo or button-down shirts for men; dress shorts, sundresses, or separates for women.
- Cocktail / semi-formal evening attire: Dress slacks, collared shirt, and an optional sport coat for men; cocktail dress or coordinated outfit, along with a wrap or sweater for women.
- ACTIVITIES Your selected activity will determine what clothing you should bring. When packing, you may want to include any of the following.
- Tour casual attire: Jeans or shorts with a comfortable shirt and walking shoes. If visiting a church, dress modestly and cover shoulders.
- Swimming activity attire: Cool comfortable clothing, with a swimsuit underneath, sunscreen, hat, and sunglasses. On cooler mornings, a long-sleeved shirt or lightweight jacket is recommended.
- Water activity attire: Wear comfortable athletic clothing, such as shorts and a t-shirt and/or a swimsuit, with water shoes, sport sandals or old sneakers. A dry pair of shorts and shirt are suggested for a change at the end of the activity. On cooler mornings, a long-sleeved shirt or lightweight jacket is recommended. Be sure to apply sunscreen and bring a hat and sunglasses.
- Golf attire: Proper golf attire is required. Collared shirts and knee-length shorts or slacks for men. Golf skirt/dress or mid-length shorts and collared shirt for women. Denim is not allowed, and guests must wear soft-spike golf shoes or tennis shoes. Be sure to apply sunscreen and bring a hat and sunglasses.
- Spa attire: Arrive in resort-casual clothing, and plan to change once you get there. Swimsuit recommended. Robe and sandals are provided in the spa changing area. Flip-flops or spa sandals are recommended.
- ACTIVITIES Your selected activity will determine what clothing you should bring. When packing, you may want to include any of the following.
- Credit cards
Major credit cards (Visa/MasterCard) are accepted in most shops, resorts and restaurants. Some will also accept American Express and/or other cards. Activate your credit cards before you travel, and make sure they are valid for at least 30 days after you return home. Some places may require a minimum charge, and others may not accept certain cards, so it’s best to bring more than one. If you have not traveled recently, you may want to contact your credit card company and advise them that you will be traveling to Guanacaste, Costa Rica. As a security measure, credit card companies may put a hold on a card showing activity that does not follow your usual profile. The Costa Rican Colón is the official currency, and exchange rates fluctuate daily. For the most up-to-date exchange rates, visit this website. U.S. Dollars are accepted in most places in Guanacaste, although you will most likely receive change in Costa Rican colón. We recommend you use your ATM card to receive Costa Rican colónes at the official exchange rate. Check with your provider before traveling to make sure your card is accepted in Costa Rica. Purchases made with credit cards will also be charged at the official exchange rate, which might be more favorable at the time of billing. - Expenses
Personal items such as room incidentals, room service, laundry, phone calls, movie rentals, minibar consumption and activities not sponsored by Fellowes will be at your own expense. - Gratuities and taxes
Tips and taxes for all services outlined in the itinerary have been prepaid for you. Tips for optional sightseeing booked on own, additional meals and other services rendered should be handled individually. - Health insurance
Check with your health insurance provider to make sure they cover medical expenses in Costa Rica. Any treatments received while in Costa Rica must be paid for at the time of treatment and filed with your insurance company when you return home.
Fellowes has provided each qualifier and guest with a Travelex Travel Policy. This does not offer trip cancellation coverage, but it can provide reimbursement for emergency medical and dental treatment, out-of-pocket expenses due to travel delay or interruption, baggage delay/loss expenses and more. - Medical information
Please advise Fellowes Travel Headquarters of any medical conditions that may require special attention or treatment, if not already noted in your registration. Bring a copy of any prescriptions you are taking and pack your prescription medicine in your carry-on luggage. We suggest you bring an extra supply in case of an unforeseen emergency. Do not pack medication in your checked luggage. - Mobile web app
The Fellowes mobile web app will contain everything you’ll want to know about your upcoming travel experience, including an attendee list, a personalized itinerary and a virtual help desk so you can text questions to on-site travel staff. One to two weeks before travel, you’ll receive a text message (from a 231-area code) and email providing the link/QR code to the web app. Simply click the link or scan the QR code, and the web app will display in your smartphone’s web browser. We recommend bookmarking it or adding it to your home screen so it’s easily accessible. We also recommend using the hotel’s complimentary Wi-Fi when using the app to avoid excessive data usage.- Login and features: Use the same email and password from registration to log in and access your itinerary, hotel in/out dates, flights information, transfers, a Help Feature, the Attendee List, and more, all in one convenient place. For guests, please use the email from registration and you'll be prompted to set a new password.
- Name badges
- Name badges are required to be worn to all planned group functions. They will identify you to your fellow travelers and assist the travel staff in recognizing you easily.
- Please note that you should not put your magnetic name badge near credit cards or magnetically encoded room keys, as the magnet on your badge may deactivate these items. Those with pacemakers should also take caution, as the magnets may cause the heart rate to increase. If you are unable to use a magnetic name badge, please stop by the Fellowes Hospitality Desk. The travel staff will be able to provide you with an alternative name badge.
- Special dietary requests
We are happy to help you with special menu requests (e.g., vegetarian meals, etc.) and any other special needs. Please contact Fellowes Travel Headquarters if you did not note your request during registration. - Sponsored tours and activities
Confirmations for your selected activities can be found on the Itinerary page of the program’s mobile web app. All appropriate tips have been paid to the guides, drivers and tour staff. - Time comparison
